The home screen for the Users Administration can be accessed from the hamburger menu that is accessible by only users that have a 'Administrative Person User' role.


Any user with the role mentioned above can perform the following tasks from the users module home screen:

  • Creating New Users be it person users that can login into Worksoft SaaS or machine users running tests
  • Find Specific Users quickly by using a wide variety of Search, Filtering and Sorting Criteria
  • Administering Existing Users
  • Inactivating Existing Users

Creating Users

Read the article "An Overview of Users' to know about the two types of users that are supported in Worksoft SaaS.

You can start creating both types of users by clicking on the 'Create' button on the top right hand side of the users' home and selecting the type of user you intend to create.

Find Specific Users quickly by using a wide variety of Search, Filtering and Sorting Criteria

Worksoft SaaS offers numerous many tools for you to efficiently and rapidly find users so that you can perform any administrative function you intend to perform for/on them. Please skip forward to the next section about administering existing users if you want to administer users. Please continue reading this section if you want to know more about finding users.

Separate Tabs for Person Users, Machine Users and All Users

Worksoft SaaS groups the users into three distinct tabs:

  • All Users: This tab shows users of both user types, viz., person and machine users that exist within your customer account (aka Worksoft SaaS domain)
  •  Person Users: This tab only shows all the person user accounts that exist within your customer account
  •  Machine Users: This tab only shows all the machine user accounts that exist within your customer account

You can directly jump to the person users tab or the machine users tab, if you are just interested in seeing user accounts of a particular user type.

Please note that you will be able to further narrow down to specific users by using, as applicable, searching, filtering and sorting of the users within any of the three tabs.


Searching for and Sorting Users

Worksoft SaaS offers numerous criteria to search for a user and many ways to sort the results of your search.

The search criteria as well as the sorting options can be accessed by clicking on the magnifying glass icon (with a plus sign inside) on the top right hand side of the screen (right below the 'Create' button. That icon when clicked expands the search criteria form.


The search criteria form when expanded can be collapsed by clicking on the magnifying glass icon (with a minus sign inside) on the top right hand side of the screen (right below the 'Create' button. That icon when clicked collapses or closes the search criteria form so that you can see more of your search results.


The search form is organized into several related logical groups:

  • User Properties: This section has many attributes about the user including but not limited to the user type, the user role, the name of the person or machine users or user aliases, the email address of a person user, the intended purpose for a machine user, the job title, the organization unit, the location (country and state/province where the user works from) and the locale (timezone) of the user.
  • Authorizations: This section has attributes related to role assigned to the user accounts and the projects a user is authorized to access.
  • Key Events: This section allows you to search for specific actions performed on/by a user date or date range within which the event occurred, users that performed the action.
  • Authentication Approaches:This section gives you the ability to find users that have been granted a specific (or a set of) authentication approach(es) and some options to find users that have a specific status for the multi-factor authentication (if they have availed this option for Worksoft SaaS Native Authentication
  • Capacity & Concurrency: This section allows you to find users that have a specific capacity and/or concurrency within a specific or set of projects
  • Sort Results By: Though not a search criteria, this sections offers various ways in which you can get the results of your search sorted. The default sorting is based on the reverse chronological order of the date of last modification (meaning the user accounts that were most recently updated appear on the top of the results list). You can always change the sort order to one of the other options by opening the search form and changing the sort order in this section and clicking on the search button. 
Each 'accordian' section can be expanded by clicking anywhere within the section including the name of the section. By default, the first accordian section 'User Properties' opens up when you expand the search form. When you click on any other accordian, the criteria that are available within that section open up. At any point of time, only one accordian can be opened. However, you can perform a search by filling out criteria from more than one accordian.

Filtering with a Users' List

You can use filter along with a search or independent of the search.

You can access the filtering functionality by clicking on the funnel icon on the top right hand side, right below the 'Create' icon. You can click on the funnel icon to collapse the filter.


To clear a filter that you may have set, just click on the red and blue eraser icon on the extreme right of the filter entry field.


Collapsing a filter does not clear the filter, if you have populated the filter. You are expected to clear the filter first before you collapse it, if your intention is to clear and collapse the filter.

An important point that you note, however, is that for performance reasons, Worksoft SaaS implements "lazy loading" (also called "on-demand loading") of search results. It is is an optimization technique wherein instead of loading the entire user list in one go as in bulk loading, results are loaded in increments as the user scrolls down the list. Worksoft SaaS loads 100 users in each increment.

Filtering in Worksoft SaaS is performed only within the results loaded so far to the user's browser from the Worksoft SaaS backend. Therefore, unless the user scrolled through all the users within the search results or if the number of search result records is less than 100, the filter may not include all the records you may be looking for.

If there are less than 100 users within your domain (or within your search results), 100% of the users will be loaded into your browser. In such a case, use of a filter will yield accurate results.

You can use filter along with a search or independent of the search.


Administering Existing Users

From the user listing (or the users' search listing), Worksoft SaaS allows you quick access to frequent operations you may want to perform on/for users, including but not limited to:

  • Resetting Passwords for Users: This feature is only applicable for those users for whom you have enabled Worksoft SaaS Native authentication.

  • View/Change Project Authorizations: You use this option to authorize users to additional projects that they are currently authorized for and/or removing currently granted authorizations to one or more project.

  • View Activity History: You can use this to view the audit log of key activities performed by the user or by an administrative person user for a user, including but not limited to login, logout, role changes, project authorization changes, capacity/concurrency changes, password resets/changes, QaCONNECT Access Key changes, etc.,

  • Inactivate User: If you don't want a user to continue to have access to your customer account (domain) because the user is no more an employee of your company or the user does not need access to the Worksoft SaaS platform because of change of job responsibilities. Worksoft SaaS does not support a delete user function at this point, however.

  • Resend Invitation for Users: This option can be used for those users that never logged into Worksoft SaaS but the 1 hour code expired and you want the code to be resent to the users.

  • View/Change Capacity and Concurrency:This option can be used to access the user level capacity and concurrency and if applicable view/change the capacity and concurrency allocated to user aliases that are owner by a specific user.


For all other changes you want to perform on a user, you can click on the 'open in a new tab' icon right next to the user's name in the user listing or the hyperlinked user's name. That will open the user in the 'edit' mode. You can then open the specific section and sub-section (accordian) and make and save the necessary changes.

Please note that the changes can be done and saved within each sub-section (accordian) separately.
